What e-bikes add to a rental fleet
An e-bike is a bicycle plus a battery, a motor, a charger, a display and, often, software. It costs more, is ridden by people who may never have used one, and adds failure modes that a standard hire bike does not have: a flat battery, a charger left behind, a motor error. It also adds risk. A rental e-bike is a high-value asset in the hands of a stranger.

Batteries: track them as assets
The battery is the most expensive component that wears out, and the one most likely to decide whether a bike is rideable today. Track, per battery or per bike:
- identity, so you know which battery is on which bike;
- age and charge cycles, as far as the system can tell you;
- health notes from any diagnostics you run;
- faults and swaps;
- current charge level at handover and at return.
If batteries can be swapped between bikes, decide whether you track them separately from the frame. Charging: routine and safety
Charging is where an e-bike fleet turns into an operations problem. Batteries need to be charged, in bulk, overnight, and safely.
- Use the manufacturer’s charger for each battery.
- Charge in a dedicated, ventilated area, away from combustible material, and follow the manufacturer’s and your insurer’s guidance.
- Do not charge damaged or swollen batteries; take them out of service.
- Stagger charging so you are not drawing everything at once.
- Record charge level at the start and end of the day.

Availability: ready means charged
For e-bikes, “available” has to mean rideable now. Category counts are misleading if half the fleet is on charge. Two practical ideas:
- A charge threshold for handover, for example only bikes above a set level go out.
- Allocate from the ready pool, so the system offers only bikes that are actually ready when you assign one.

Handover: explain the bike
An e-bike handover takes slightly longer than a standard one, because the rider needs to understand the assistance levels, the range and how to ride safely with more power than they expect. Give each rider the same short briefing:
- How to switch on, choose assistance and read the display.
- Realistic range for the conditions, and what happens when the battery runs out.
- Braking: it stops more slowly with the added weight.
- What to do in an emergency and who to call.
- Return time and place.

Deposits for high-value bikes

Regulation: check your local rules
In the EU and UK, a standard e-bike is one that assists only while pedalling, up to 25 km/h, with a limited motor power. Faster “speed pedelecs” are classified differently, often as mopeds, with licensing, insurance and helmet requirements. Rules on minimum age, helmet use and where e-bikes may be ridden vary by country and even by region. Check the rules where you operate before adding a model to your fleet, and put anything relevant in your terms.
Service and retirement
